 | Inbound Appointment Scheduling |
All scheduling is accomplished using customized forms in Microsoft Outlook. Once an inbound appointment form is opened all required information must be supplied or the form will not close and the appointment cannot be scheduled. This insures that all required information is obtained. Appointment forms can be customized to meet individual customer needs. Once the Inbound appointment is confirmed a copy is forwarded via e-mail or fax to the customer. The customer can also specify that copies be sent to as many individuals and/or locations as are required. This e-mail can be sent in simple text format or as an Outlook form attachment which the customer can place within his own Outlook program. This means that the customer never needs to contact AMFEX to get delivery information; he simply checks his/her e-mail or in house Outlook calendar.
Alarms are automatically sounded 30 and 15 minutes prior to the scheduled appointment time. This reminds operations that a delivery is scheduled and they can contact the delivering carrier to confirm that the shipment is on its way or will require re-scheduling. Re-scheduling is accomplished within the same system and again notification to the customer is delivered automatically.

Once the scheduled shipment arrives the appointment form is opened and the arrival section is completed. This section provides all required information for verification of the items, quantities, dating, labeling and condition of the shipment received. OS&D situations are noted on the form and if any damages exist the item is refused and a digitized picture is taken and keep in a computer file. The completed form along with any digitized pictures are forwarded to the customer. Original delivery papers can be scanned and also attached to the e-mail or faxed. No shipper load and count cargo is accepted and it is recommended that multiple products not be consolidated on one skid. Palletized cargo is then marked and staged.

All production and quality control is provided in conjunction with an inventory control database. When the job is scheduled to start, a hard copy of the Job order form is printed and the following steps are taken:
- The required equipment is set-up
- A sample run is produced.
- All steps in the set-up procedure are noted and signed off by the set-up person and a supervisor.
- A digitized photo is taken of the sample product.
- All details on the job requirements are noted, item numbers, item description, label, date & production information
- All information from the form is entered into a database
- The digitized photo is saved in the customer file
- A copy of the completed form and the photo are e-mailed or faxed to the customer
- The customer reviews the information & the photo and replies with a confirmation notice.
- The job is then started and quality controls systems indicated.
 | Inventory Status And Control Reports |
All inbound and outbound shipments are entered into an inventory control database. This includes all customer supplied re-packaging materials, display items, promotional items or other items that AMFEX may be inventorying for the customer. The inventory control databases are automatically updated as items are received and shipped. Physical inventory checks are made once every three months or as requested by the customer. An inventory control report is generated and sent to the customer upon completion of each physical inventory check.

- Customer request for shipment
Upon receiving shipping information from the customer an AMFEX shipping order is prepared. This order provides all required shipping product and scheduling information.
- Container pick-up
Trucker and pier notification and confirmation, is noted and scheduled. AMFEX utilizes the service of third party services provider for all trucking and container pick-up and delivery. This service provider is required by both AMFEX and all shipping line to maintain and provide proof of adequate cargo and general liability insurance coverage. Certificates of insurance are available upon request. AMFEX not only allows but also encourages shippers to provide their own container trucking service should they so desire. All loading and handling charges will be adjusted accordingly.
- Order Staging
The order is pulled and set up in a staging area. The order is inventoried, checked and signed off by a supervisor
- Loading
The container is inspected and loading begins. The loading team is given a tally sheet of the staged shipment and verifies the count and condition of the shipment. At the half way point of loading a supervisor is called to take a picture of the load. This is also done on completion of the load.
- Shipment verification
All required shipping papers are prepared and verified by a supervisor and container delivery is scheduled.
- Delivery confirmation notice
Upon completion of delivery to the export carrier the trucker will notify dispatch and a delivery confirmation will be issued to the customer.

AMFEX systems utilize Microsoft or compatible programs. Windows 4.0 Server, workstation, Win98 Office 2000/97 (word, Excel, Access, Outlook, Outlook Express, MSMail,) QuickBooks Pro 6 & Omni Form 4.0
All files and information are backed-up daily on removable storage tapes and full system back-ups are run weekly. All programs have been customized to meet the requirements specified by AMFEX.
Although all information transmission is sent with computer industry standard and protocols and is accessible with most PC compatible programs, Microsoft programs will be most effective in receiving and displaying AMFEX formats. All systems, forms, and procedures may be modified to meet individual client needs.
